Office & Operations Administrator / Bookkeeper

Salary: £28,000 – £41,000 per annum, depending on experience
Hours: Monday to Friday, 9am – 5pm
Location: Office-based

Are you an organised and detail-oriented finance and administration professional looking for a varied role where no two days are quite the same?

We are recruiting on behalf of a well-established, family-run business operating within the vehicle and transport sector. The company is looking for a reliable and proactive Office & Operations Administrator / Bookkeeper to join its team and support the smooth running of its day-to-day operations.

This is an excellent opportunity for someone who enjoys combining bookkeeping and accounts with general office administration, operational coordination and record management.

The Role

Working within a busy office environment, you will take responsibility for a broad range of financial and administrative duties, helping to ensure that accounts, records and operational documentation are accurate, up to date and well organised.

Your responsibilities will include:

Accounts & Bookkeeping

  • Preparing sales invoices and maintaining sales and purchase ledgers.
  • Processing bank and cash transactions and preparing journals where required.
  • Assisting with weekly payroll and processing customer payments.
  • Maintaining accurate financial records and supporting the external accountant with reconciliations and queries.
  • Preparing self-billing invoices and maintaining supporting financial documentation.

Office & Operational Administration

  • Maintaining accurate customer, supplier, stock and vehicle records.
  • Recording vehicle purchases and sales, ensuring all relevant financial and supporting documentation is complete.
  • Monitoring outstanding paperwork and following up with relevant parties to resolve queries.
  • Maintaining fleet, registration and vehicle-related records.
  • Supporting compliance administration, including relevant vehicle and scrap documentation.

Logistics & General Administration

  • Processing and maintaining shipping, import and export documentation.
  • Liaising with customers, suppliers, transport providers and other external contacts.
  • Handling telephone enquiries and general correspondence professionally.
  • Maintaining electronic records, ordering office supplies and providing wider administrative support as required.

About You

We are looking for someone who is dependable, methodical and comfortable working across a variety of responsibilities. You will have a good eye for detail, particularly when dealing with financial information, figures and important documentation.

Ideally, you will have:

  • Previous bookkeeping, accounts or finance administration experience.
  • Experience using Sage 50 Accounts or similar accounting software.
  • Good working knowledge of Microsoft Word and Excel.
  • Strong organisational skills and the ability to prioritise a varied workload.
  • Excellent attention to detail and a proactive approach to resolving discrepancies.
  • Clear communication skills and the confidence to liaise with customers, suppliers and colleagues.
  • A flexible, practical attitude and a willingness to support different areas of the business.
  • Must live in the local area and have your own transport due to location
  • Must be eligible to live and work in the UK without requirin sponsorship

Experience within the vehicle, haulage, logistics, scrap metal or export sectors would be advantageous, although it is not essential. Training will be provided on the company's bespoke internal management system, so confidence in learning new systems is more important than specialist IT knowledge.

What's on Offer?

  • A competitive salary of £28,000 – £41,000, depending on experience and skills.
  • Consistent Monday-to-Friday working hours, 9am–5pm.
  • A varied, hands-on role with a combination of accounts, administration and operational responsibilities.
  • The opportunity to join an established business where reliability, accuracy and a practical approach are valued.

If you have a background in bookkeeping or accounts administration and are looking for a role that offers variety, responsibility and the opportunity to make a real contribution to a busy business, we would love to hear from you.
