Interaction Technical are recruiting on behalf of a well-established and respected commercial vehicle dealership group. Due to continued growth, our client is looking to recruit an organised and customer-focused Service Administrator to join their busy depot.

This is an excellent opportunity for an experienced administrator looking to build a long-term career within a professional workshop and service environment. The successful candidate will play a key role in supporting workshop operations, managing customer communications, processing service documentation and ensuring all completed work is invoiced accurately and efficiently.

The Duties

  • Process and invoice completed workshop jobs accurately and efficiently.
  • Audit work orders, job cards and supporting documentation to ensure compliance with company procedures.
  • Act as a key point of contact for customers throughout the service and repair process.
  • Answer customer enquiries via telephone, email and face-to-face interactions.
  • Check customer account details, purchase orders and authorisations prior to invoicing.
  • Schedule and coordinate MOT bookings and communicate requirements with customers and relevant authorities.
  • Plan and maintain workshop diaries and service schedules.
  • Arrange subcontracted repairs and issue relevant order numbers where required.
  • Support the Service Desk during busy periods and holiday cover.
  • Follow up customer service calls and maintain excellent customer relationships.
  • Ensure reception and customer-facing areas remain professional and welcoming at all times.
  • Maintain accurate administration records and departmental documentation.

The Requirements

  • Previous experience as a Service Administrator, Service Advisor, Workshop Administrator, Fleet Administrator or similar role.
  • Strong customer service and communication skills.
  • Excellent organisational and administrative abilities.
  • Experience processing invoices, job cards, work orders or service documentation.
  • Ability to build strong relationships with customers and colleagues.
  • Comfortable working in a fast-paced and demanding environment.
  • Good understanding of Microsoft Office applications.
  • Ability to manage multiple tasks while working to deadlines.
  • Automotive, HGV, commercial vehicle, plant, fleet maintenance or engineering administration experience would be advantageous.
  • Experience using workshop management systems such as Autoline would be beneficial but is not essential.
  • Basic technical understanding of vehicles or engineering environments would be desirable.

About You

The successful candidate will be highly organised, customer-focused and proactive, with previous experience supporting workshop, service or engineering operations. This role would suit candidates from commercial vehicle, HGV, automotive, plant, fleet maintenance or engineering backgrounds who enjoy working in a busy environment and delivering excellent customer service.
